How to Scan a Document on iPhone with Notes

The Notes app can photograph a page, straighten the edges, and keep the scan in a note. You do not need a separate scanner for a receipt, a letter, or a school form.

Use a flat page and a contrasting surface, such as white paper on a dark table. Glare from a window makes the words harder to read later.

Open a note

1. Open Notes.
2. Tap the compose button to start a note, or open a note you already use for paperwork.
3. Tap in the note so the toolbar appears above the keyboard.

If the toolbar is hidden, tap the note once. The scan control sits with the other attachment tools, not in the iPhone Camera app.

Scan the page

1. Tap the camera button, or tap the attachment button and then Scan Documents.
2. Hold the phone over the page until a yellow or blue outline sits on the edges.
3. Wait for Notes to take the picture, or tap the shutter button if it does not fire.
4. Drag the corner handles if the crop includes the table or cuts off a margin.
5. Tap Keep Scan.

The names on the confirmation buttons can vary slightly by iOS version. Look for the control that accepts the page, then the one that finishes the session.

Add more pages or save

After you keep a page, the camera stays open.

• Scan the next page the same way.
• Tap Save when the stack is complete.
• If a page is blurry, retake it before you save. Replacing one page is easier than exporting a bad PDF.

Notes drops the scan into the note as an image you can tap. From the scan viewer you can share it. Choose Save to Files when you want a PDF in iCloud Drive or On My iPhone.

Make the scan readable

A few habits matter more than filters:

• Fill the frame with the page, but leave the corners visible so the crop can find them.
• Turn on more light instead of using the flash against glossy paper.
• After the scan, pinch to check small type. If a line is soft, retake that page.

Some iOS versions offer Color, Grayscale, or Black & White after the capture. Use them only if the words get clearer. A filter that looks dramatic can crush faint print.

Where the file lives

The scan stays in that note until you delete the note or the attachment. It also counts toward the storage Notes uses on the phone. If the phone is full, read how to free up iPhone storage before you delete Notes itself. Deleting the app can remove the notes stored on the device.

To keep a copy outside the note:

1. Open the note and tap the scan.
2. Tap the share button.
3. Choose Save to Files and pick a folder you will remember, such as a Paperwork folder.

You can air-drop or mail the same share sheet. The message contains the scan, not a link back to your private notes.

When a scan is the wrong tool

Notes is a document scanner, not a fax machine and not a text editor. It will not reliably turn handwriting into a spreadsheet. If you need the words as editable text, start from the scan you just saved and use a tool that says it extracts text, then proofread the result.

Do not scan a passport, a card, or a medical form into a note you sync to a shared account unless you mean to store it there. iCloud Notes follows the Apple ID signed in on the phone.
